Pure Holistic Therapies respects your privacy and is committed to protecting your personal information. This notice explains what information is collected, why it is needed, how it is used and stored, and your rights under UK data-protection law.

Who is responsible for your information?

Pure Holistic Therapies is registered with the Information Commissioner’s Office (ICO).

Information I collect

Depending on your enquiry, booking or treatment, I may collect:

  • Your name, date of birth and contact details

  • Appointment, booking and payment information

  • Emergency-contact details where appropriate

  • Health information, including medical conditions, medication, allergies, pregnancy status, injuries and treatment contraindications

  • Consultation forms, treatment plans, clinical notes and aftercare records

  • Information about your treatment goals, preferences and areas you would like avoided

  • Relevant correspondence by email, telephone, text or booking-system message

  • Marketing preferences

  • Photographs where you have provided separate permission

  • Technical information collected through the website, such as cookies or basic usage information

Health information is classed as special-category personal data and is handled with additional care.

Why I use your information

Your information may be used to:

  • Arrange, manage and confirm appointments

  • Assess whether a treatment is suitable and safe

  • Adapt treatments to your individual needs

  • Maintain accurate consultation and treatment records

  • Provide relevant preparation and aftercare information

  • Process payments, deposits and refunds

  • Contact you about changes affecting your appointment

  • Respond to enquiries, requests, complaints or concerns

  • Meet professional, insurance, accounting and legal requirements

  • Establish, exercise or defend a legal claim

  • Send occasional marketing emails where you have chosen to receive them

Lawful bases for using your information

The lawful bases relied upon depend on how the information is being used:

  • Contract: to arrange and provide the treatment or service you have requested.

  • Legal obligation: where records must be maintained for tax, accounting or other legal requirements.

  • Legitimate interests: for appropriate business administration, maintaining treatment records, protecting clients and the business, and responding to complaints or legal claims.

  • Consent: for optional marketing communications and photographs.

  • Explicit consent: for collecting and using health information to assess treatment suitability and provide safe, personalised treatment.

  • Legal claims: health information may be retained or used where necessary to establish, exercise or defend a legal claim.

You may withdraw consent for future processing at any time. However, if you withdraw consent for the use of health information, I may be unable to continue providing treatment safely. Withdrawal does not make previous lawful processing invalid, and some records may still need to be retained for legal, professional or insurance purposes.

How your information is collected

Most information is provided directly by you when you:

  • Make an enquiry or booking

  • Complete a consultation or consent form

  • Attend a treatment

  • Contact Pure Holistic Therapies

  • Subscribe to marketing communications

  • Provide feedback or a review

Who may process or receive your information?

Your information is not sold.

Trusted service providers may process limited information on my behalf where necessary, including:

  • Squarespace and Acuity Scheduling for the website, bookings, consultation forms and appointment records

  • Stripe and SumUp for payment processing

  • Momence where applicable to historic or venue-related bookings

  • Email, website, cloud-storage and communication providers

  • Accountancy, insurance or professional advisers where necessary

Payment providers process card information securely. Pure Holistic Therapies does not retain your complete card details.

Information may also be disclosed where required by law, to protect someone’s vital interests, or to establish or defend a legal claim. Information will not ordinarily be shared with another therapist or healthcare professional without your permission.

International data transfers

Some technology providers may process or store information outside the UK. Where this occurs, I rely on the safeguards used by those providers, such as UK adequacy regulations or approved contractual protections, to help ensure that personal information remains protected.

How long your information is kept

Information is retained only for as long as reasonably necessary:

  • Adult consultation and treatment records are normally retained for seven years following the last treatment, in line with professional and insurance requirements.

  • Records relating to clients under 18 may be retained for a longer period in accordance with professional and insurance requirements.

  • Financial and transaction records are normally retained for six years for accounting and tax purposes.

  • Enquiries that do not lead to a booking are normally deleted within 12 months.

  • Marketing details are retained until you unsubscribe or withdraw consent.

  • Photographs are retained in accordance with the separate permission given and will not be used for a new purpose without further consent.

Records may be retained for longer where required by law, an insurer or an ongoing complaint or legal claim.

How your information is protected

Reasonable measures are used to keep personal information secure. These include password-protected booking systems and devices, restricted access to client records and secure storage of any paper documents.

Only information reasonably needed to provide the service and meet professional responsibilities is collected.

Marketing communications

Marketing emails are only sent where you have chosen to receive them or where another lawful permission applies.

Marketing consent is optional and is not a condition of receiving treatment. You can unsubscribe at any time by using the unsubscribe option in an email or contacting Pure Holistic Therapies directly.

Appointment confirmations, reminders, changes and aftercare information are service communications rather than marketing and may still be sent when necessary to manage your booking or treatment.

Photographs

Any consent to take or use photographs is separate and optional. Refusing photographic consent will not affect your treatment.

The intended use of photographs will be explained before consent is requested. Identifiable photographs will not be used for marketing, social media or training without specific permission.

Your data-protection rights

Depending on the circumstances and lawful basis, you may have the right to:

  • Ask for a copy of the personal information held about you

  • Ask for inaccurate or incomplete information to be corrected

  • Ask for information to be deleted

  • Ask for the use of your information to be restricted

  • Object to certain uses of your information

  • Withdraw consent

  • Ask for certain information to be transferred to you or another provider

  • Complain about how your information has been handled

Some rights are not absolute. For example, treatment or financial records may need to be retained for legal, professional or insurance reasons even after a deletion request.
